Tracking Attendance

Once your campuses, service times, and groups are configured, B1 Admin makes it easy to review attendance data and spot trends. The Attendance page opens on a summary of this week's attendance, and its All years reports provide two main views -- the Attendance Trend tab for church-wide trends and the Group Attendance tab for group-level detail. Use these tools to understand growth patterns, identify declining engagement, and make data-driven decisions for your church.

Before You Begin

  • Your attendance structure must be set up with at least one campus and service time. See Attendance Setup if you haven't done this yet.
  • Attendance data needs to be recorded before reports will show results. Data can come from manual entry or self check-in.
  1. Open B1 Admin, open the Jump menu (the search bar at the top-left), expand People, and click Attendance.
  2. Click All years in the left column. The Attendance Trend tab is selected by default.
  3. The report runs automatically when the tab opens, showing total attendance for each week.

For a quick look at the current week, the main Attendance page shows how many people are in the room this week, a breakdown by room (group), any guests, and a 13-week bar chart of check-ins -- no report needed.

Filtering Your Data

Use the filters in the Filter Report box to narrow the results, then click Run Report:

  • Campus -- select a campus to see attendance for only that location.
  • Service -- limit the report to one service.
  • Service Time -- pick a service time to drill into a particular gathering.
  • Group -- show attendance for a single group.
  • Start Date and End Date -- the date range to include. By default the report covers the past year, from one year ago through today, and the end date is included in full.

The report shows a bar chart and a table of total visits per week. Each week is labeled with the date of that week's Sunday. The table also has a Session Dates column listing the actual dates in that week that had attendance (for example, "9/27, 9/30"), so you can see when a midweek gathering is counted in the same week as Sunday.

info

Reports auto-run each time you open the Attendance Trend tab, so you will always see up-to-date numbers without needing to click a refresh button.

Group Attendance

The Group Attendance tab shows who attended each group session. This is useful when you want to monitor a specific class, ministry team, or small group rather than looking at overall service numbers.

  1. On the All years reports, select the Group Attendance tab.
  2. Optionally choose a Campus and Service.
  3. Set the Start Date and End Date. By default the report covers last Sunday through today.
  4. Click Run Report.

Results are grouped by session date, then by service time and group, with the people who attended listed under each group. Service times, groups, and names are sorted alphabetically so each heading appears once. Each person's row also shows a Checked In column with the time their attendance was recorded (blank when no time is on file) and a Membership Status column (for example, Member or Visitor), so you can spot guests at a glance.

To download the data, click Download Options and choose Summary. The CSV has one row per group member, sorted by group and then name, and a column for each dated session in the range (for example, "Sunday - 9:00 AM (2026-09-27)") marked present or absent.

Group attendance is especially valuable for small group leaders who want to track engagement within their group over time.

Tips for Using Attendance Data

  • Review trends monthly to catch seasonal patterns early.
  • Compare campus-level data to understand which locations are growing.
  • Use group-level reports to follow up with groups that show declining attendance.
  • Combine attendance insights with the AI Search tool to find people who haven't attended recently.
