Group Calendar
Each group in B1 can have its own event calendar. Group leaders use it to schedule meetings, activities, and recurring events, while all group members can view upcoming events and join conversations about them. The calendar keeps your group organized and ensures everyone stays informed about what is coming up.
Before You Begin
- You need a group created in B1 Admin with at least one member. See Creating Groups and Group Members.
- To add or edit calendar events, you must be designated as a group leader. See Designating Group Leaders for instructions.
Accessing the Group Calendar
The group calendar is available through the B1.church member-facing app:
- From B1 Admin, click the dropdown menu in the top right corner of your screen.
- Select Switch App.
- Choose B1.church.
- Click Groups in the left sidebar.
- Select your group from the list.
- Click Calendar on the left side of the screen.
The group calendar is managed through B1.church (the member app) rather than B1 Admin. Group leaders access it by switching apps from the admin dashboard.
Adding an Event
- From the group calendar, click Add an Event.
- Enter a title for the event.
- Write a short description of what the event is about.
- Set the start time and end time.
- Click Save to add the event to the calendar.
Setting Up Recurring Events
If your group meets on a regular schedule, you can set events to repeat automatically:
- When creating or editing an event, check the Recurring box.
- Choose how the event should repeat:
- Interval -- Set a number of days between occurrences. For example, entering "7" repeats the event every 7 days.
- Frequency -- Choose to repeat by day, week, or month.
- Save the event. It will now appear on the calendar at each scheduled occurrence.
For a group that meets every Saturday, set the frequency to "week" and choose Saturday. The event will automatically populate on the calendar going forward.
Bulk-Creating Events in B1 Admin
The group's page in B1 Admin also has a Calendar tab where staff can schedule a whole season of meetings at once:
- Open the group in B1 Admin and select the Calendar tab.
- Click Add Events to open the Add Recurring Events dialog.
- Choose the schedule (weekly, every 2 weeks, monthly, or one time), the First Meeting and Last Meeting dates, and optionally Skip holidays.
- Review the preview of meeting dates and uncheck any to skip.
- Leave Allow RSVPs checked if you want members to be able to respond to these events (see below), then save.
Event RSVPs
Group events can collect RSVPs — a Yes, No, or Maybe for each occurrence of the event.
- Allow RSVPs is on by default for events created through the bulk-add dialog; uncheck it to turn responses off for those events. Events with RSVPs turned off show as Disabled on the calendar tab.
- On the B1 Admin group calendar tab, each event shows a response summary (for example, "5 yes · 2 maybe · 1 no"). Click through to open the RSVP Responses roster, which lists who answered yes, maybe, and no for that occurrence.
RSVPs give leaders a head count without the formality of full event registration. For paid signups or capacity-managed events, use event registration instead.
Viewing the Calendar
The group calendar offers multiple view options:
- Month -- See the full month at a glance.
- Week -- Focus on the current week.
- Day -- View a single day in detail.
- Agenda -- See a list of upcoming events in chronological order.
Switch between views using the buttons at the top of the calendar.
Event Details and Conversations
Click on any event to view its details. From the event detail view:
- Members and leaders can start conversations and leave comments about the event.
- Leaders can edit event details, change times, or delete the event.
Deleting an event removes it permanently. If you need to cancel a single occurrence of a recurring event, consider editing it instead.
Subscribing to the Calendar
You can sync the group calendar with your personal calendar:
- From the group calendar page, click Subscribe.
- Follow the prompts to add the calendar to Google Calendar, Apple Calendar, Outlook, or any other calendar application that supports subscriptions.
Subscribing keeps your personal schedule in sync with your group's events without needing to check B1 separately. Any changes made by group leaders will automatically appear in your synced calendar.
