Group Members

Once you have created a group, the next step is adding members. From a group's detail page you can search for people, add them to the group, assign leaders, send messages, and export the member list. Managing group membership is essential for coordinating small groups, committees, and classes.

Before You Begin

  • You need at least one group set up in B1 Admin. See Creating Groups if you haven't created one yet.
  • The people you want to add should already be in your People directory. If someone isn't, you can create them from the member search (see below).

Adding Members to a Group

  1. In the Jump menu, choose People > Groups and click on the group you want to manage.
  2. In the Members section of the group page, click All members. (Teams and ministries open straight to their member list.)
  3. In the Add Person box below the member list, type the name of the person you want to add and press Enter or click the search icon.
  4. Click the person's name, or the add icon next to it, in the search results.
  5. The person now appears in the group member list.
sfat

Before you type anything, the Add Person box shows a short list of Recent people you can add with one click.

When you are done, click the Back to link with the group's name to return to the group page. The group page shows a summary of the group's Members, Sessions, Calendar, and Health, each with a link to its full view. If you are one of the group's leaders, it also shows Leader notes (see Leader Notes below). When forms are linked to the group, a Linked forms section appears too (see Linked Forms below).

Adding Someone Who Isn't in B1 Yet

If your search finds no one, the search shows No records found with an Add New Person link. Click it, enter the person's first name, last name, and (optionally) email, and click Add. The new person is created in your People directory and added to the group in one step -- you don't need to search for them again.

Designating Group Leaders

Group leaders have special privileges -- they can edit the group calendar, manage events, and help coordinate the group.

  1. In the group member list, find the person you want to make a leader.
  2. Click the star icon (Make Leader) next to their name.
  3. The person is now designated as a group leader and shows a Leader badge.

To remove leader status, click the star icon (Remove Leader Access) again.

informație

Any group member can view the group calendar and events, but only leaders can add or edit calendar events.

Linked Forms

When a Stand Alone form is linked to the group, the group page shows a Linked forms section with each form's name, whether it is Open or Closed, and how many forms are linked. The section appears only for the group's leaders and for people who can administer forms, and only when at least one form is linked. Forms administrators can click a form's name to open it, or click All forms to go to the Forms page.

Group leaders read and print the answers to these forms from the group's page on B1.church.

Leader Notes

Group leaders can keep private notes about the group -- for example, follow-ups, prayer needs, or pastoral concerns -- that the rest of the group never sees.

The Leader notes section appears on the group page only for people who are leaders of that group. It shows the newest note, who wrote it and when, and how many notes there are.

  1. On the group page, click All notes in the Leader notes section.
  2. Type your note in the box and post it. Notes are listed with the author's name and photo and the date and time each was posted.
  3. Click the Back to link with the group's name to return to the group page.
informație

Leader notes are visible only to the group's leaders. Other members can't see them, and neither can staff or administrators -- even with full permissions -- unless they are also leaders of that group. To give another person access, make them a leader. Leaders also see these notes in the Leader notes section of the group's page on B1.church, and on the Groups tab of the Notes page in B1 Admin.

Sending Messages to Group Members

You can communicate with all members of a group directly from B1 Admin:

  1. In the group's member list, click the Send a message to members icon above the list.
  2. Type your message in the text box (or pick one from Templates).
  3. Click Send.

Your message will be delivered to all members of the group.

Emailing Group Members

You can send formatted emails to all members of a group:

  1. From the group detail page, click the Email button on the left side of the page.
  2. The Send Email dialog opens, showing how many members will receive the email and how many have no email address on file.
  3. Optionally select an email template from the dropdown, or compose a message from scratch. Click Manage Templates to create or edit templates.
  4. Enter a subject line. You can insert merge fields by clicking the field chips: {{firstName}}, {{lastName}}, {{displayName}}, {{email}}, {{churchName}}.
  5. Compose the email body using the HTML editor. The same merge fields are available here.
  6. Click Send.
  7. A summary shows how many emails were sent successfully and how many members were skipped (no email on file).
sfat

Create reusable email templates for recurring communications like weekly updates, event announcements, or prayer requests. Templates save time and ensure consistent messaging.

Turning On Group Email for Your Church

All churches on B1 send email from the same address, so they share one sending reputation. To keep everyone's email out of spam folders, the ChurchApps team reviews each church once before it can send group email.

If your church has not been reviewed yet, the Send Email dialog shows Group email needs a quick review instead of the message editor:

  1. Click Request review. The ChurchApps support team is notified.
  2. The dialog changes to Review requested. You can close it.
  3. Group email is usually turned on within one business day. Open the Send Email dialog again after that to send your message.

Until your church is approved, B1 also does not send form follow-up emails or the Send email step in workflows.

Sending limits

After approval, a church can send up to 150 church-written emails a day. The limit grows as your church builds a clean sending history, up to 2,000 a day. If recent messages bounced or were marked as spam, group email pauses and the dialog asks you to contact support. If a send would go over your daily limit, B1 does not send it and shows an error.

Texting Group Members

Once your church has connected a texting provider, a Text button (Text this group) appears next to the Email button on the group page.

  1. From the group detail page, click Text.
  2. The dialog shows how many members will get the text. Members with no mobile phone on file or who have opted out are skipped.
  3. Type your message. To personalize it, click a placeholder chip below the message box -- First Name, Last Name, Display Name, or Church Name -- to insert it at your cursor. Each placeholder is filled in with the recipient's own details when the text is sent.
  4. Click Send.

See Personalizing Texts with Merge Fields for more detail.

Exporting Group Data

To download the group member list as a file:

  1. In the group's member list, click Export above the list.
  2. A CSV file containing the group's member information will download to your computer.

A CSV export is useful for importing data into other tools, or keeping offline records. For more export options, see Exporting Data.

Printing the Member List

In the group's member list, click the Print Roll Sheet (printer) icon above the list and choose a layout. The page opens in a new tab and your browser's print dialog appears automatically.

  • Attendance Sheet -- an undated class list with Present and Absent boxes for teachers to mark by hand. See Printing a Roll Sheet.
  • Contact Roster -- a contact list for the group, dated today and headed with your church logo (the Light Background Logo from Website > Appearance, if you've uploaded one) with your church's name beneath it, and the group name. Each member has a row with their Name, Phone, Email, and Address. Leaders are listed first and marked Leader, then everyone else by last name. The phone shown is the member's mobile number, or their home or work number if there is no mobile. Contact details are left blank for anyone who has opted out.
avertisment

A contact roster contains members' personal contact information. Share printed copies only with the group's leaders and others who need them.

Sending Push Notifications to Group Members

You can send a push notification directly to all group members who have the B1.church app installed on their device with push notifications enabled.

  1. From the group detail page, click Notify (below the Email and Text buttons -- the Text button appears once a texting provider is connected).
  2. A dialog opens showing how many of your group's members have push enabled.
  3. Fill in the notification details:
    • Title (required) -- A short summary, up to 80 characters.
    • Message (required) -- The notification body, up to 240 characters.
    • Open link or flyer URL (optional) -- A relative app path (for example, /mobile/groups) or a full https:// URL that the notification opens when tapped.
    • Image URL (optional) -- An https:// URL to an image that appears alongside the notification on supported devices.
  4. A live preview shows how the notification will appear on the device.
  5. Click Send Notification.
informație

Push notifications are delivered only to group members who have the B1.church PWA installed and have not disabled push notifications. Members without a registered push device or with push turned off are counted as skipped, and the send summary shows how many were reached versus skipped.

sfat

After sending, the dialog shows how many notifications were queued successfully. If most members are showing as skipped, remind them to visit their B1.church site, install it as a home-screen app, and allow notifications when prompted.

Removing Members

To remove someone from a group, locate their name in the member list and click the remove button next to their entry.

informație

Removing a person from a group does not delete them from your church directory. They will still appear in the People section and can be re-added to the group at any time.
