Plans Overview
The Plans Overview gives you a bird's-eye view of all your volunteer assignments across multiple service dates at once. Instead of opening each plan individually, you can see who is serving in every position across upcoming weeks in a single grid — and quickly spot any gaps that still need to be filled.
Before You Begin
- Create at least one Ministry and Plan Type in the Serving area
- Create service plans with dates and volunteer assignments
- Ensure your volunteers have been added to your people directory
Accessing the Overview
- Navigate to Serving from the main menu in B1 Admin.
- Select a ministry tab at the top of the page.
- Click on a plan type to open its plan list.
- Click the Overview button near the top of the page.
Reading the Overview Grid
The overview displays a grid where:
- Rows represent each position (e.g., "Music: Guitar", "Tech: Projection") grouped by category
- Columns represent upcoming service dates (e.g., "Apr 14", "Apr 21")
- Cells show the name of the volunteer assigned to that position on that date
Positions highlighted in red are unfilled — no volunteer has been assigned yet. This makes it easy to see staffing gaps at a glance without opening each plan individually.
Volunteer names are shown in a shortened format (first name and last initial, e.g., "John D.") to keep the grid compact when you have many positions.
Filtering the Overview
You can adjust what the overview shows using the filter controls at the top:
- Start Date / End Date — By default the overview shows 12 weeks into the future. Enter custom dates to expand or narrow the range.
- Ministry — Switch to a different ministry without leaving the overview.
- Plan Type — Filter to a specific plan type within the selected ministry.
Click Filter after making changes to update the grid.
Exporting to CSV
Click Export CSV to download the current grid as a spreadsheet. The export includes all positions and volunteer assignments for the filtered date range, making it easy to share with ministry leaders or print for planning meetings.
The CSV export reflects whatever filters are currently applied — only the dates and plan type shown in the grid are included in the download.
